PFM Events Group are an award-winning event services provider based in  SE suburbs, Melbourne. At PFM, our aim is for the provision of great value, quality event catering, decor & planner services to our business and personal customers around Melbourne and surrounding areas. Our group specialises in event decor, hire, planning, and through Party Food Melbourne, event catering.

Event Sales Coordinators

We are seeking two event coordinators to join our team. There is some flexibility, including:

  • part-time or full-time opportunities
  • some work from home (wfh)
  • some weekend work (though not every weekend unless preferred).

This role provides variety and exposure to the broader scope of event and wedding planning to the narrow focus that a specialist service provider offers when planning a menu for a client.

It is best suited to a candidate who is seeking experience across a wide area of events management. As we rebuild, opportunitites to niche into one area such as corporate events, wedding planning, catering, the more creative areas of decor & event marketing, account management, logistics & stock control will open back up.

2021 brought us a mixed bag of wins as well as the tough times. We step into 2022 with our heads held high and a larger business than we left behind in 2020 when the world started to unravel. To join our team is to join one of Melbourne’s longest-standing (and still standing) catering and event service companies. Not to mention awards won independently and for our clients.

Primary responsibilities

Each coordinator in our business manages their own clients. As we provide custom services at the client’s venue, strong empathy, communication, curiosity and attention to detail are essential.

  • consult with clients about their event requirements and offer suggestions to suit the event and client’s objectives
  • negotiate the services to be provided, in line with a budget and venue constraints
  • prepare quotes, manage client documentation and payments
  • packing sheets
  • liaise with the venue and ensure that it is appropriately set up. This may include site inspections with venue manager and client.
  • consult with and book event suppliers, eg, entertainers and party hire
  • consult with our staffing scheduler to ensure adequate staff are rostered for each event
  • provide briefings to caterers, decorating staff for service delivery requirements for the event
  • provide order fulfilment duties and restocking
  • find solutions to any problems that arise concerning services provided either by Party Food Melbourne or sub-contractors
  • advise senior management on matters requiring attention and implement their decisions
  • arrange payment from the client and ensure invoices are passed on to management for supplier payments
  • evaluate the service provided by Party Food Melbourne or contractors and report on outcomes
  • ensure rented equipment is collected from and returned to the supplier
  • our senior event coordinator will coordinate larger events
  • our wedding coordinators will focus primarily on wedding client work

*Most consulting is done from the office (with some whf once trained). Venue site inspections with the client and venue manager may be required from time to time. Some larger or more elaborate functions may require the consultant to coordinate and/or set-up the venue for the client.
